Print Order, Vendor Credits, Browser, Cross-Account & Test Mode

Abstract

Administrators managing the Advanced Check Printing configuration in NetSuite can control various aspects of how checks are generated, previewed, and restricted. These settings support workflows such as customizing print orders, handling vendor credits, testing layout changes, enabling cross-account printing, and enforcing access limitations. For example, organizations with multiple business units may want to restrict visibility by ownership while still enabling secure multi-account check printing. This article explains how to configure key settings on the CPB Settings page, including print order, vendor credits, browser mode, test mode, memo formatting, and access restrictions.

Configuring Print Order, Vendor Credits, Browser Mode, and Test Settings

This section outlines configuration options that control how checks are ordered, displayed, previewed, and restricted within Advanced Check Printing. It includes setup for print sequencing, vendor credit visibility, browser-based print settings, test mode behavior, cross-account check printing, and user access restrictions.

Follow these steps to configure the check printing behavior according to your organization's requirements:

  1. On the CPB Settings page, locate the CHECK PRINT ORDER setting by clicking the Edit button to enter editing mode:

  2. Use the CHECK PRINT ORDER dropdown to select your preferred sorting method. Options include Date (DESC), Transaction Number (ASC), and Payee (ASC) and more:

By default, the Transaction Number (ASC) option is selected.

  3. If you want vendor credits to appear on the check when paying a bill credit, check the ENABLE VENDOR CREDIT LINES box. When enabled, vendor credits will be shown as separate lines on the check stub and added to the template apply list:

This option is usually enabled by default.

  4. Ensure the USE APPROVAL WORKFLOW AUTOMATION box remains checked, as it is selected by default. When enabled, approval is required before payments appear in the print queue. This setting requires a license for Approval Workflow Automation:

  5. If you want to simplify the print checks screen, check the ONLY SHOW ENTITY NAME box. When enabled, only the entity name will appear on the screen to help work around NetSuite performance issues:

This setting is disabled by default.

  6. Next, under the PRINT MODE, verify that the Browser option has been selected. This is the standard configuration and means a PDF will open on the screen to be manually sent to your local printer. If you're using an OCP Server, select One Click Print (Server) instead:

  7. Check the PRINT ACROSS ACCOUNTS BY DEFAULT box if you want to print checks across multiple GL accounts at once. When enabled, checks can be printed across multiple accounts in a single batch by default:

  8. When working in test environments, enable the ENABLE TEST MODE checkbox:

This allows the check PDF to remain open while you update the template and simply refresh to view changes. If this box is not selected, you’ll need to reprint checks and activate each version to see updates. This setting is useful when testing template modifications.

Note: The print queue supports a maximum of five batches at a time when using test mode.

  9. You can select the MEMO LINE WRAPPING ENABLED checkbox if you want memo text to wrap to the next line rather than being cut off:

When enabled, the memo line on the remittance — if included in the template — can wrap across multiple lines instead of being truncated when it exceeds the width of the memo column. This helps maintain readability on checks with long memo content.

  10. Use the MEMO MAX CHARACTER LINE field to define the maximum number of characters allowed per memo line:

This controls how memo content wraps in the remittance table when line wrapping is enabled, and ensures consistent formatting on the printed check.

  11. Use the MEMO LINE BREAK PATTERN field to define when a line break should be added to the remittance memo column:

This controls how memo content wraps in the remittance table when line wrapping is enabled and ensures consistent formatting on the printed check.

  12. Check the DISABLED FIRST CHECK NUMBER OVERRIDE box if you want to prevent employees from manually changing the starting check number. When this is enabled, users won’t be able to override the system-generated starting number:

  13. Select the ALLOW PRINTING ACROSS BANK ACCOUNTS checkbox to let employees print batches of checks that span multiple bank accounts. This enables more flexibility during large-scale check runs:

  14. From the REMITTANCE LINE SORT ORDER (LEVEL 1) dropdown, you can choose how remittance lines should be sorted on the check stub. This defines the order of entries in the remittance table — for example, selecting Transaction Date (Asc) will sort lines chronologically:

If you select Custom Field as the sort option, enter the field ID in the CUSTOM REMITTANCE SORT FIELD ID (LEVEL 1) field. Available options are populated from the CPB Custom Template Field records defined in your account:

  15. Use the REMITTANCE LINE SORT ORDER (LEVEL 2) dropdown to define a secondary sort order for the remittance table. If you select Custom Field as the sort option, enter the field ID in the CUSTOM REMITTANCE SORT FIELD ID (LEVEL 2) field:

Available options are pulled from CPB Custom Template Field records in your account.

  16. Check the DON'T USE VENDOR LEGAL NAME FOR PAYEE box if you want to exclude the vendor’s legal name when determining the payee name on the check:

When enabled, the system will not use the legal name listed on the Financial tab of the vendor record.

  17. If your printed address does not include the payee’s name by default and you need it to appear, check the INCLUDE PAYEE NAME IN ADDRESS box. When enabled, the payee’s name will be added as the first line in the address block:

  18. Use the options in the CUSTOM LINE DATA SOURCE FIELD section to control check visibility and remittance data. You can specify a custom field on the payment transaction that contains JSON data to override the default remittance lines; this field must be formatted as an array of objects.

To restrict access, you can enable options such as RESTRICT CHECKS BY SEGMENT, which applies role-based filters like location, department, or class; RESTRICT CHECKS BY OWNER, which allows only the employee who created the payment to print it; and RESTRICT BATCHES BY OWNER, which limits batch visibility on the status page based on the batch's owner. These settings are helpful for customers who want to ensure employees only see or print the checks for which they are responsible.

  19. To grant visibility to specific employees, enter their names in the EMPLOYEES ALLOWED TO SEE ALL OWNERS box. If checks or batches are restricted by owner, this setting allows the selected employees to view and print checks for all owners, overriding the default restrictions:

This overrides the restriction and gives them full access to all checks.

  20. The Role section at the bottom of the page is rarely used:

Access to check printing is more commonly controlled through the script itself rather than through this setting.

This concludes the overview of the print order, vendor credits, browser, cross-account, and test mode configuration in advanced check printing.
