Impact of Subscription Cancellation

We understand business needs change and you may no longer require our service going forward. When cancelling your subscription of Automate, please be aware of the following potential impacts to your NetSuite account. These will take effect on your subscription's renewal date.

We Do Not Recommend Uninstalling Bundles / SuiteApps If Bundles or SuiteApps are uninstalled from NetSuite, all associated data stored in custom record types and fields will be permanently deleted from NetSuite. This data cannot be recovered. The impacts below assume Bundles and SuiteApps are not uninstalled from your account.

OCR and Invoice Scanning

  • The ability to create Vendor Bills from documents in your queue/inbox will be disabled. However, Vendor Bills can still be entered manually through the standard NetSuite screens.

  • You will be unable to scan additional documents uploaded to the queue/inbox.

Approval Automation

  • All approval processes managed by Approval Automation will be disabled. Any records managed by Approval Automation will be unable to be submitted for approval or approved. Approval Automation must be turned off via our (by making the record inactive) to handle approval routing separately.

Payment Automation

  • Access to view and release payee payments will be removed. This includes all payment history and check file copies in the Automate UI. Vendor Bill Payments will still contain custom fields that show Automate Transaction Id, Check Number and Release Status and can be viewed.

  • Access to view payees and their payment methods (including bank details) will be removed.

  • If you have any funds in your business entity's balance, the funds should be moved back to your bank account ahead of your subscription termination, as access to transfer funds will be removed.

Advanced Document Management

  • The ability to upload or view documents via our Files tab will be disabled. If files are being stored within NetSuite's File Cabinet, the files may still be viewed via the standard NetSuite file tab.

  • If SquareWorks is hosting your data (legacy edition), your data will be permanently removed within 60 days from our external storage. File data will be unrecoverable if the Bundle is uninstalled if SquareWorks is hosting your data.

Advanced Check Printing

  • The ability to print new checks will be removed via our Print Checks screen. You will no longer be able to utilize the custom check layout. The ability to print checks will only be accessible through the Print Checks & Forms feature in NetSuite, which only supports pre-printed check stock.

  • The ability to route checks for approval will be disabled if the check printing approvals addon was purchased and configured. See Approval Automation above.

Advanced Vendor Onboarding

  • Access to form responses from vendors will be removed.

  • The ability to send vendors onboarding forms will be removed.

  • The ability to route vendors for approval will be disabled if configured. See Approval Automation above.

Journal Reversal

  • The reversal button on the journal entry page will be removed. Journals must be manually reversed using standard NetSuite functionality.
