Importing and Managing Payees (Vendors)

Abstract

User permissions are critical to ensure only authorized individuals can perform specific tasks within payment automation. Administrators maintain a secure environment by assigning tailored access levels and streamlining essential processes such as releasing payments. For instance, an AP clerk may only need the ability to review and approve invoices, while an AP manager requires the ability to release payments.

This article outlines how to configure user permissions for payment automation. It begins by guiding you to the Permissions page, then details how to assign the Release Payee Payments permission and highlights key considerations for administrator-level permissions.

Configuring User Permissions

Properly assigning permissions ensures that users can access the tools they need — no more, no less. User permissions are important in payment automation, where payment approval and release must be carefully controlled.

  1. To access the Settings page, start by navigating to the Automate Home page, then click the gear button at the top-right corner of the page:

  2. Once you’re ready to manage user permissions, click the Permissions link from the left panel to open the page:

  3. Whenever you must assign permissions to particular parts of the application, review the different permission groups listed on the table:

Assigning or Modifying Permissions

By assigning permissions from the appropriate permission groups, you ensure that only authorized personnel can perform specific functions in the system. Properly structuring these permission groups helps maintain both security and efficiency.

  1. If you want to enable certain roles or employees to access a particular feature or function, locate the relevant permission group under the Permission Group column:

  2. Once you’ve identified the permission group to which you want to add employees or roles, click on the name to open the page. For example, Release Payee Payments:

  3. To select the employees or roles allowed to manage the permissions, you can click the Add Employees or Add Roles buttons to grant them access:

    Note: Whenever you’re assigning or modifying permissions, consider whether the user truly needs full administrative access or a more specific level of authorization — minimizing overuse of admin permissions keeps risk and potential oversight issues in check.

  4. If you want to add a specific employee, click the Add Employee button to open the Select Employees popup window. From there, select the employee you wish to grant permission to and click the Add button:

  5. If you need to assign the permission at a role level, click the Add Role button to launch the Select Roles popup window. Choose the applicable role from the list and click the Add button:

  6. After you’ve assigned permissions to all necessary employees or roles, verify their settings to confirm that only the intended users have been granted the new privileges:

It's important to note that admins, by default, always carry all of these permissions, so use them sparingly.
